The Position

The purpose of this classification is to perform clerical work functions associated with the Office of Human Resources.


The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

Greets and assists customers in person and via telephone; provides routine information, assistance, and guidance on matters pertaining to the Office of Human Resources to include, but not limited to, procedures, forms, employment status, accrued leave time and related issues.

Prepares, processes, and reviews a variety of documents, including applicant/employee files, accuracy, and submission standards

Proofreads materials, documents, and correspondence for correct grammar, spelling, and punctuation

Schedules meetings, sorts and distributes mail, and maintains departmental files

Operates a variety of office tools, including computers, specialized software, photocopiers, fax machines, and printers

Establishes and maintains cooperative work relationships with those contacted during work operations

Answers routine questions, distributes and explains forms such as the online employment application process

Prepares/coordinates the deposition of files/records and scanning of permanent Human Resource's records in accordance with the states of Georgia's records retention schedule.

Assists in the preparation of New Employee Packages.

Directs visitors and employees to appropriate offices

Prepares and maintains personnel files for all employees; ensures documents are correctly filed in permanent personnel and insurance files within the designated timeframe.

Operates a computer to enter, retrieve, review or modify data in a database; verifies the accuracy of entered data; makes corrections; uses knowledge of various software programs to operate a computer in an effective and efficient manner.

Performs routine office tasks; processes a variety of documentation associated with departmental operations, per established procedures and within designated timeframes; open, stamp and distribute mail and packages received in the department

Receives, prepares or completes various forms, reports, correspondence, worksheets, or other documents; distributes and/or maintains records.

Prepares departmental files; maintains file system of departmental records.

Maintains inventory of departmental forms and supplies; initiates requests for new or replacement supplies/materials.

Responds to routine requests for information/assistance from employees, officials, retirees, the public or other individuals.

Communicates with supervisor, employees, city departments, outside agencies, the public, and other individuals as needed to coordinate work activities, review the status of work, exchange information, or resolve problems.

This job has no supervisory responsibilities.

Minimum Qualifications

High school diploma or general education degree (GED) required; or two (2) to four (4) months related previous experience and/or training; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
